Regional Officer Information

Regional Officers include a President, three district Vice-Presidents, an Executive Secretary, and an Alumni Representative elected by a simple majority of all chapters present at the regional convention. Each officer will serve a one-year term, which begins and ends at the regional convention.

Eligibility

To be eligible for regional office, the candidate must:

  1. be an active member of a chapter in good standing.
  2. plan to be a matriculated student and an active member in good standing during the full term of office (Fall and Spring).
  3. have the approval of the chapter advisor.
  4. sign and abide by the Honor Code for Regional Officers.

Election Process

Nominations for office are made at the second general session of the convention, usually a Saturday morning. Candidates must be present. Candidates electioneer throughout Saturday, and make a formal speech to all the delegates at convention on Saturday night. Voting by the designated chapter delegates takes place Saturday night or Sunday morning, and the new officers are installed at the Sunday General Session. Newly elected officers must plan to stay for about an hour after the close of convention for official photographs and to receive orientation and officer materials. Please note: Campaigning is limited to Phi Theta Kappa areas within the hotel.

Regional Officer Meetings

Regional officers MUST plan to attend the following meetings in order to fulfill the requirements of the office they hold:

  1. Regional Officer Training. This will be held in March, a few weeks after you are elected.
  2. Catalyst - Held in April (you will attend two Catalysts). The Region will support your travel to the Catalyst after you are inducted. Your home chapter will support your travel to Catalyst after your term ends.
  3. Mock Chapter - Held over the summer
  4. Regional Honors in Action and Leadership Conference planning weekend. This is usually in September or October.
  5. Regional Honors in Action and Leadership Conference in October.
  6. Regional Convention Planning. This usually occurs in February.
  7. Regional Convention in March.
  8. There is also a possibility of attending the Honors Institute. Honors Institute attendance is not guaranteed.

Funding for Regional Officers - Regional Conferences

When funding is available, the regional treasury will fund the following:

  1. All officers’ registrations at regional events.
  2. Regional officer’s travel to regional events and trainings. Travel will be made using the most cost-effective method and must be approved by the Regional Coordinator before purchases are made.

Funding for Regional Officers - Catalyst and Honors Institute

When funding is available, the regional treasury will fund the following:

  1. Regional officers’ registrations for Catalyst while you are an officer (you will attend Catalyst the following month after you are elected). After your term ends in March, your home chapter must fund your trip to Catalyst, when you are no longer a Regional Officer. Please make sure and discuss this with your home chapter and stay active in your home chapter.
  2. Regional officers’ travel to and hotel for Catalyst, while they are regional officers. Travel will be made using the most cost-effective method. Again, your home chapter will be responsible for your travel and lodging for the following Catalyst, after your term ends.
  3. You will be responsible for any meals that are not included at Catalyst.
  4. Officers’ Registration for and Travel to International Honors Institute, if requirement for attendance are completed on time.

Travel(representing the region at chapter events)

Travel costs will be covered by the regional treasury, provided a travel request has been submitted to and approved by the Regional Coordinator . Requests must be submitted at least three weeks prior to the event. The regional coordinator must receive requests for travel reimbursement within 30 days of the regional event. Maximum request will be $200 for the term.

Expectations

As a Regional Officer, you are charged with fulfilling your duties as laid out in the New York Region Bylaws. In addition to fulfilling these duties, you are expected to:

  1. Make time to be on a weekly phone conference with the Regional Officers and Regional Coordinator;
  2. Make time to attend all events and trainings;
  3. Submit a report in writing every 2 weeks to the Regional Coordinator (via email or google docs) explaining what you have done over the past week for the NY PTK Region;
  4. Submit a biography and photo to the Regional Coordinator by the end of the Regional Officer training in March;
  5. Visit at least two chapters each semester (Vice Presidents must visit chapters in their district) to make connections and encourage PTK engagement.

Honors Institute and PTK Catalyst Attendance

You must earn your trip to both Honors Institute and PTK Catalyst. Simply being a Regional Officer does not entitle you to attend either of these events.

In order to attend these events, you are expected to:

Honors Institute:

  1. Be on weekly phone calls (attendance will be tracked, 2 absences are allowed if you contact the Regional Coordinator in advance);
  2. Attend the Regional Officer training for the full weekend;
  3. Submit any and all travel receipts within 30 days of travel, if the Regional Coordinator approved personal expenditures;
  4. Submit a report in writing every 2 weeks to the Regional Coordinator (via email or google docs) explaining what you have done over the past week for the NY PTK Region (submission of reports will be tracked, 2 reports can be skipped with prior permission from the Regional Coordinator);
  5. Post on Social media 2 times per day using #PTK, #NYPTK, at any International event, Regional training, event, or gathering.

PTK Catalyst

  1. Attend the mandatory Regional Officer Training and stay the entire weekend. If you do not attend, you won’t be funded to attend Catalyst.
  2. Be on weekly phone calls (attendance will be tracked, 2 absences are allowed if you contact the Regional Coordinator in advance)
  3. Submit any and all travel receipts within 1 week of travel, if the Regional Coordinator approved personal expenditure
  4. Post on Social media 2 times per day using #PTK, #NYPTK, at any International event, Regional training, event, or gathering
